Sign-in
Only the people you invite get in
Existing accounts
People sign in with the Microsoft 365 or Google Workspace account they already have. Someone without a company email gets a one-time code by email. There are no new passwords to manage.
Leavers are handled for you
Turn off someone's company account and they can't sign in here either. With Enhanced, your admin can also remove them from the People page.
Terms on first sign-in
Everyone accepts your plain-language usage terms the first time they sign in: what the assistant is, what it won't do, and how questions are used.

Each person gets answers only from what they're cleared for
Put documents into up to three levels, for example everyone, leads and managers. A person's level comes from the groups your admin puts them in.
- Filtered before the AI sees anything. Documents above the asker's level are removed from the search before any answer is written, so the assistant can't repeat, summarize or hint at them. Access is never left to the AI's judgment.
- Source links by level. For each document, choose which level sees its source link.
- Check it yourself. Your office can view the assistant as a lower level and see exactly what each group gets.
- Forms and videos too. A form or video filed at a level is only offered to people at that level and above.
Privacy
Your office sees what's missing, not who asked
No names in reports
Knowledge Gaps and Insights show questions and counts, never who asked. Questions are stored without names.
Small counts stay hidden
Figures below a minimum are held back, so nobody in a small crew can be picked out from the numbers.
Not used to train AI
We don't use your documents or your crew's questions to train AI models.
Sensitive topics
Some questions go to a person, not the AI
Personal questions about pay, leave, accommodations and harassment are caught before any AI is involved and routed to your HR contact. Their words are never stored. General policy questions, like "what is the bereavement policy?", are still answered from your handbook, and a request for a form on one of these topics gets the form.

Your documents stay yours
Only what you publish
The assistant answers only from the documents your office publishes, never from the internet. Your originals stay wherever you keep them.
Every change is recorded
Your office publishes, replaces or removes documents on one page, and each change is recorded in its history.
When you leave
Your app, your published documents and your stored questions are deleted from the service. We keep only the offboarding record your contract describes.
Hosting
Where it runs
OpsPromptAI runs on Microsoft Azure and Microsoft 365, and the AI that writes the answers runs in Microsoft Azure. Each company gets its own app address and its own search index; one company's documents are never mixed with another's.
How we handle the information of website visitors and live demo visitors is in our privacy policy. How a customer's employees' information is handled is set out in that customer's agreement and in the terms shown inside their app.
